Contracts & Grants Fund Accounting Series

 

Contracts and Grants Accounting offers several classes that focus on fund accounting processes for sponsored projects. These classes are geared toward individuals that are relatively new to managing contract or grant award funds in a University setting but may also be helpful to all those that would like to refresh their knowledge of the current Federal regulations and research administration processes at UCI.

 

Enroll in all of these courses via the UC Learning Center (UCLC). Search for “CGS.”

 

 

COURSE #1  (CGS 1) Introduction to Fund Management

Thursday, January 18, 10:30 a.m. – 12 p.m.

Location: Zoom link will be emailed to registered attendees

The first course in the Contracts and Grants Fund Accounting Series presents policies, practices and requirements related to fund management. Topics include: understanding the purpose of fund accounting, award terms and conditions, and important Federal and University policies.

 

 

COURSE #2  (CGS 2) Direct vs. F&A

Tuesday, January 23, 10:30 a.m. – 12 p.m.

Location: Zoom link will be emailed to registered attendees

This course is designed to help contract and grant fund managers understand and identify the difference between direct and facilities and administrative (F&A/indirect) costs. Topics include: the difference between direct and F&A costs, criteria for assigning costs and applicable credits, special circumstances and sponsor approval, and unallowable costs.

 

 

COURSE #3  (CGS 3) General Error Correction (GEC)/Cost Transfers

This course is available as an eCourse.

               

This course explains what a GEC and a salary cost transfer is and when it is to be performed, provides information about how to avoid cost transfers and how to document and support them when they are necessary, and summarizes policies that govern cost transfers. Completion of this course is mandatory for individuals that will perform payroll and/or non-payroll cost transfers. Individuals that complete the eCourse to satisfy the mandatory training requirement must achieve a 100% score on the eCourse assessment.

 

 

COURSE #4  (CGS 4) Payroll Certification

This course is available as an eCourse.

               

This course focuses on the UCI’s Payroll Certification System (PCS), and includes the following topics: description of the UCI’s payroll certification process, proper PCS review and certification, PCS cost notes and exceptional approvals, PCS schedules, and PCS escalation process.

 

 

COURSE #5  (CGS 5) Cost Sharing

This course is available as an eCourse.

 

This introductory course is intended to help you gain knowledge on cost sharing types, UCI cost sharing policies, and UCI cost sharing system.

 

                 

COURSE #6  (CGS 6) Ledger Reading and Award Closeout

Thursday, January 25, 10:15 a.m. – 12 p.m.

Location: Zoom link will be emailed to registered attendees

This course is designed to help research administrators interpret award terms and conditions; and learn how to read and understand the award ledger (KFS Decision Support), budget allocations, financial reports, and award payment schedules. The second part of the course focuses on the proper financial closeout of an award, including closeout timeline and important deadlines, subcontractor monitoring, cost sharing commitments, outstanding expenditures, and document retention periods.
