hSCRO Data Migration and Draft Protocol Narrative

HUMAN STEM CELL RESEARCH OVERSIGHT (hSCRO)

Reminder: hSCRO Data Migration and Draft Protocol Narrative

Version July 2025

CalendarReminder: Huron hSCRO (ZOT hSCRO) will launch on September 15, 2025.

Data Migration:

In order to transition to ZOT hSCRO, the HRP must migrate current data in Kuali Research Protocols (KRP).

Here is what will migrate:

  • The latest version of hSCRO approved protocols
  • The latest version of hSCRO approved protocol attachments
  • A PDF of the entire nlatest version of the hSCRO approved protocol

Here is what will not migrate:

  • Closed protocols
  • Unsubmitted draft transactions (e.g., modifications, continuing renewals)
  • Submitted, unapproved protocols and related transactions (e.g., modifications, continuing renewals)

UCI hSCRO will maintain complete data from KRP through a combination of self-service Cognos reports and FileNet.

As a part of their responsibilites, hSCRO researchers should maintain their own research records. Accordingly, be sure to save any closed protocols to ensure a complete protocol record. To save the protocol, click on the ‘Print’ option from the main study page (see right column of page). The ‘Print’ button will open up the entire application.  From there, on your Menu Bar, you can select ‘File’, then ‘Print’, then ‘Save as PDF.’

Protocol Narratives:

The ZOT hSCRO SmartForm contains basic information. Details will reside in a Word document or Protocol Narrative, similar to what was used prior to KRP. This attachment is to be uploaded into the ZOT hSCRO system as a part of the hSCRO protocol submission.

Once ZOT hSCRO launches, at the next transaction, researchers will need to complete any errant or incomplete fields within the ZOT hSCRO SmartForm and, if any protocol changes are proposed, append a completed Protocol Narrative as part of an amendment application. Researchers can get started by completing the Protocol Narrative in advance. Below is the Draft hSCRO Protocol Narrative template.

We expect to post final versions of the following by early August 2025.
