Award Balance Overview (ABO) Report Enhanced!

PIs can now see Payroll Expense Detail on Awards

The Award Balance Overview (ABO) Report was recently updated to include more detailed payroll information. This new data is only viewable to people with the “ABO User” role. Most UCI Principal Investigators (PIs) were automatically granted this role and can review payroll information in ABO right now. Department Research Administrators and any PIs who did not get access may request this role as needed. Access can be granted by your Department Security Administrator (DSA).

Viewing Payroll Detail in the ABO Report

A significant portion of many awards is spent on employee salaries and wages. Until recently, the ABO Report only provided top-level payroll information for awards at the consolidation level. You could see how much was spent on payroll for an award overall ­– but could not drill down to see how much was being paid at the individual level.

image006.jpgPIs and research administrators with the “ABO User” role can now drill down to see this information by doing the following:

1.Open the ABO Report. A link to the report can be found on the Contracts & Grants Accounting homepage: http://accounting.uci.edu/cg/

2.Find the award you’re interested in and select the dollar amount in the Actuals column, or select a Total in Recent Spending by Month.

3.You should be looking at a list of actual expenses grouped together by consolidation (see above). Pick one of the “Salaries & Wages” consolidations and drill down by clicking the dollar amount in the right column.

The resulting screen shows payroll spending broken out by Monthly Fiscal Period and Employee Name. The information displayed only includes payroll charges related to your specific award and only provides limited column data such as Employee Name, Title Code, Project Code and DOS Code. Complete detailed payroll data for any given employee, including all fund sources, is only accessible via the Payroll & Personnel System (PPS).

Please also note that data in the ABO Report only goes back as far as July 2014 and that employee names will not be shown if they are not a current active employee.
